Program Maintenance

Compliance is not demonstrated by what an employer knows. Compliance is demonstrated by what an employer can prove.

A safety management system is not a project. It is a living system.

Regulations change. Operations evolve. Personnel turn over. New hazards emerge. A safety program that is not actively maintained becomes outdated, harder to defend, and gradually disconnected from the reality of the workplace.

Most safety consultants deliver a binder and walk away. OMHAS built Program Maintenance because that approach fails employers when it matters most.

A Closed Ecosystem

OMHAS Program Maintenance is more than document updates. Every component is designed to support every other component.

Maintenance clients enter a closed ecosystem where the safety system, the workforce training, the due diligence communications, and the professional support all work together. The paperwork stays current. The training is traceable. The certifications are verifiable. The system remains defensible.

That integration is the difference between a system that looks good on paper and one that actually protects your people and your business when it matters.

What Program Maintenance Includes

National Semi-Annual Briefings

Twice a year, OMHAS publishes its National Regulatory Briefing. Every province addressed in one document. Six months of legislative changes, enforcement trends, major prosecutions, administrative penalties, and emerging compliance requirements consolidated into a single national overview prepared for Canadian employers.

Rather than monitoring multiple regulators across multiple jurisdictions, you receive one defensible record of what changed and where. Each briefing is archived and remains available as part of your due diligence record.

Monthly Due Diligence Letters

These are not newsletters. They are due diligence tools.

Each letter delivers province-specific regulatory developments, seasonal hazards, enforcement trends, recent incidents and fines, and the practical actions employers should consider within their own operations. The letters are designed to be filed as evidence of ongoing safety awareness. They help you identify issues before those issues become incidents, orders, penalties, or claims.

Quarterly Health and Safety Meeting Packages

Every quarter, maintenance clients receive a professionally prepared health and safety meeting package designed to work hand in hand with that quarter's due diligence letters. The package provides structured meeting agendas, discussion points, and documentation tools. The materials are easily adapted to your industry, your workforce, and your operational requirements. They become yours.

OMHAS Academy Access

Maintenance clients receive complete access to OMHAS Academy, regardless of employee count. Whether you have ten workers or one hundred and ten workers, Academy access is included.

OMHAS Academy courses are not generic safety training. Every course is designed to align with a specific OMHAS program module. When your workers complete the Lift Truck course, they do not just learn lift truck safety. They learn how the Lift Truck module operates inside their own OMHAS safety management system, how to use the pre-shift inspections, how to use the maintenance inspections, and how to document everything correctly.

Courses are available for employers, management, supervisors, and workers. Certifications are fully traceable, carry automatic 18-month expiry tracking, and are independently verifiable through QR-coded credentials. An external auditor can verify a worker's training record without OMHAS in the loop. The result is a workforce that does not just know the rules. The workforce knows your system.

Ongoing Professional Support

Questions do not arrive on a schedule. When you need help, OMHAS is available to guide you on Management of Change, Document Control, Program Updates, Incident Reporting Requirements, Incident Investigations, Regulatory Interpretation, and General Program Administration.

The objective is not just to answer questions. The objective is to help you make informed decisions before small issues become larger problems. Remote support is included as part of the maintenance relationship.

Who Program Maintenance Is For

Program Maintenance is designed for employers who want professional oversight without hiring a full-time health and safety manager. OMHAS becomes an extension of your operation, helping you maintain continuity, consistency, and defensible records throughout the year.

Whether you operate a single site or multiple sites, ten workers or several hundred, the maintenance relationship is sized to fit your operation.

Annual Audits

Annual occupational health and safety audits are available to maintenance clients at preferred rates. These audits provide an independent assessment of implementation, identify emerging gaps, and create documented evidence that your system remains current, functional, and defensible. They strengthen your evidence of due diligence in the event of an investigation, claim, or contractor prequalification review.

Optional

Annual audits are optional and are not included within standard Program Maintenance.

How Long Maintenance Lasts

Program Maintenance continues until terminated by either party. There is no fixed contract length. There is no renewal trap. The relationship continues for as long as it is serving you.

Why Maintenance Matters

A system that sits on a shelf creates risk. A system that is actively maintained creates evidence of due diligence. That difference is what separates an employer who can defend their safety program from one who cannot.

OMHAS Program Maintenance is built to keep your system in the defensible category, every month, every quarter, every year.

Ready to Keep Your System Alive

If you already have an OMHAS system, or if you are considering building one, Program Maintenance provides the ongoing support necessary to keep that system current, defensible, and aligned with your operations.
